Job Description

The Development Coordinator is a full-time, exempt position with Dix Park Conservancy which is responsible for supporting both the Capital Campaign for Dix Park and annual fundraising to help achieve organizational philanthropy goals. This position is supervised by the Vice President of Development.

Capital Campaign Support

• Schedule and coordinate meetings and events, including Campaign Cabinet, solicitation, stewardship and cultivation meetings and events, and park tours

• Prepare volunteers and senior staff for solicitation meetings with advance materials, such as tailored engagement plans, prospect background and supporting collateral

• Record and transcribe notes of all campaign related communications and meetings; distribute to staff and campaign counsel as appropriate

• Support effective fundraising management processes

• Maintain and update campaign calendar of development activities

• Collaborate with the VP of Development to prepare campaign and solicitation materials, collateral, and correspondences

• Collaborate with Development Data Manager to prepare regular development reports for senior staff, campaign cabinet, and board

• Organize and maintain accurate files of all campaign activities and notes

Annual Donor and Communications Coordination

• Administer annual and membership appeal campaigns for renewing and prospective donors, including occasional writing and editing

• Support online donor processes and respond to donor inquiries

• Work with Development Data Manager to ensure data accuracy

• Prepare and meet production and distribution schedules of electronic and print donor and membership pieces

• Work with Community Engagement Manager to participate in opportunities to reach new donors at park programs, activations, and events

• Administer donor and member benefits

• Collaborate with Senior Communications & Marketing Manager for all external donor announcements



Donor Stewardship

• Administer stewardship efforts with VP of Development. Actions may include engaging board and staff for thank you phone calls, writing personal notes or emails.

• Coordinate donor stewardship and cultivation events

• Coordinate non-gift donor touchpoints

• Collaborate with Donor Data Manager to assure timely donor acknowledgements

• Update donor acknowledgement templates often to reflect current events and park progress

• Collaborate with Director of Outreach to coordinate corporate donor volunteer opportunities

Administrative Support

• Provide preparation support for grant and sponsorship proposals

• Process and deposit checks

Education and Experience

• At least 3-5 years of administrative experience, preferably with a nonprofit organization

• Experience in nonprofit fundraising preferred, major gifts or capital campaign experience a plus

• Bachelor’s degree preferred but not required

• Platform/program proficiencies: Microsoft Suite, Constant Contact, Blackbaud data software; design software experience a plus

• Ability to prioritize and manage multiple projects simultaneously, taking responsibility for the completion of each by its respective deadline

• Capacity to take initiative and be responsive to donor questions or concerns

• Excellent verbal and written communication skills

• Ability to write meeting notes and prepare summaries quickly and accurately

• Strong research, analytical, planning, and organizational abilities, with excellent attention to detail

• Excellent judgement and professionalism in dealing with people

• Collaborative, responsive and supportive

• Ease in working with board members and volunteers to achieve fundraising goals

• Team-oriented, flexible, positive, personable, and willing to learn

• Self-motivated and enthusiastic with ability to work independently

• Eagerness to support the mission, vision and values of Dix Park and the Conservancy

• Knowledge of and interest in urban parks and the value they bring to the community. Appreciation of park programming, history, historic preservation, land legacies, environment, and conservation a plus

• Ability to work occasional nights and weekends for events and programs

Expectations

• Attend and actively participate in department, full staff and joint city/Conservancy meetings

• Seek opportunities to engage and collaborate with Dix Park city staff to advance mutual goals
