Job Description

SUMMARY:

Provides complete administrative support to the Executive team and other departments at TROSA.

Duties and Responsibilities

• Serve as administrative support to executive team (including CEO, CFO, COO, CPO,CDO)

• Prepare reports for President/CEO utilizing Microsoft Office. Conduct research as needed

• Maintain administrative offices and ensure it has appropriate supplies and equipment functions properly

• Serve as administrative support to other staff as needed

• Log incoming invoices and payments and submit daily to Finance Department

• Set up A/V equipment as needed

• Coordinate catering for events and meetings and ensure refreshments and supplies in conference rooms are stocked

• Supervise the sorting, logging and distribution of all mail for over 400 residents and staff

• Compile documents for TROSA Board of Directors meetings

• Serve as liaison between callers and the President/CEO, fielding requests and calls as appropriate

• Ensure that appropriate and sufficient materials are available at the Reception Desk for visitors

• Order office supplies as needed

• Take, print, edit, and frame photographs of new hires, new Senior Residents, and any other photographs as needed by President/CEO

• Organize and prepare for tours of TROSA properties including coordinating dates and tour guides

• Organize and coordinate TROSA speaker engagements in the community; organize voter registration for residents and candidate forums.

• Maintain a variety of spreadsheets and databases such as ones that track volunteer hours by TROSA, community volunteers at TROSA, and donations given to the community

• Coordinate annual campaigns and applications during the year, such as Coats for Kids/Families and Toys for Tots

Knowledge, Skills and Abilities

• Excellent organization and time-management skills

• Full proficiency in G Suite and Microsoft Office Suite both in using and creating documents

• Strong commitment to confidentiality

• Ability to problem-solve with tasks and people

• Detail-oriented and extremely organized

Credentials or Experience

• High school or college education

• 4-6 years of administrative office experience preferred, executive level a plus

• Equivalent combination of education and experience

• Previous Administrative or Office Management strongly preferred
