Job Description

POSITION TITLE: Finance Manager

REPORTS TO: Chief Business Officer SCHEDULE: Mon.-Fri.; 8:00am-5:00pm

SUMMARY OF POSITION:


To work closely with the organization’s Executive Director, Board, and Chief Business Officer (CBO) to ensure that the organization’s financial needs are met and to help drive best financial practices within the organization. They handle all payroll and accounting functions and manage investments and fundraising dollars. Responsible for managing the annual finance planning/budgeting processes and prepare the annual operating budget. Work with staff and board to develop/implement program and organizational budgets. Prepare monthly profit/loss, balance sheet and cash flow financial statements. Review salaries being charged to projects and adjust to ensure correct allocation. Prepare, review, and distribute monthly reports, funder reports and others. Annual Audit preparation and coordination with auditor.


DUTIES AND RESPONSIBILITIES:

• Work closely with the Executive Director, Board, and CBO advising on matters impacting the financial success of ongoing operations and potential opportunities that may impact cash flow.

• Provide support, oversight, and direction to the Business Administration department, insuring adequate staffing and optimal operation in accordance with organization needs and intention:

• Ensure that the organization remains in compliance with all applicable federal, state, and local laws and regulations related to business administration and fiscal accountabilities.

• Provide strategic financial input and leadership on decision-making issues affecting the organization.

• Manage and oversee the activities of the accounting department, ensuring fiscal integrity and organizational alignment, for the accurate and timely dissemination of financial management reports.

• Manage the organization’s finances in accordance with ECFA guidelines and standards.

• Develop and maintain consistent and best practices for internal and external accounting policies and procedures.

• Establish and maintain systems and controls which verify the integrity of all systems, processes and data, and enhance the organization’s value.

• Counsel the Executive Director, Board, and CBO to advise, negotiate, manage, and administer all contracts into which the organization may enter.

• Provide technical financial advice and knowledge to others within the financial discipline.

• Establish and maintain credibility for the finance/administration group by providing timely and accurate analyses of budgets, project proposals, cash flow and trends in the multiple administrative areas in order to assist the Executive Director, Board, CBO, and other senior management in performing their responsibilities.

• Initiate continual improvement of the financial management process through education of department managers on financial issues impacting their areas of responsibilities.

• Assess property, casualty and other business insurance needs and execute contracts to ensure adequate coverage to protect the organization’s assets.

• Ensure the timely execution of monthly and year-end closing processes

• Oversee and direct all payroll, accounts receivable and payable and resolve disputed billings.

• Complete production and distribution of monthly financial statements on a timely basis.

• Prepare the annual budget ensuring timely input into the system:

Initiate and schedule meetings and deadlines with appropriate personnel, evaluate previous budget and plan for upcoming year.

• Collaborate with management to define requirements and limitations of annual budget and to gain approval.

• Follow up with appropriate personnel to facilitate budget accountability and compliance.

• Monitor internal controls:

• Identify and rectify internal control issues.

• Make changes in order to improve organizational efficiency and quality.

• Participate in a wide variety of special projects and compile a variety of special reports as requested.


EDUCATION/EXPERIENCE:

Master’s degree in accounting, business administration, or CPA credential OR

Bachelor’s degree in accounting with a minimum of 3-5 years of related financial experience

Minimum 2-4 years of supervisory experience; High level of audit preparation and coordination/communication preferred

• Excellent planning, analyses, prioritizing, decision-making, and implementation skills with a high level of personal integrity.

• Knowledge of and subscription to ECFA guidelines and standards

• Extensive and comprehensive knowledge and application of standard accounting functions.

• Good oral and written communication skills: strong technical and report writing skills, able to interact well with others, provide training, and impart information.

• Able to lead and encourage others, resulting in achievement of goals and responsibilities.

• Computer literate, highly proficient in Microsoft word, QuickBooks, Excel, and other spreadsheet software and accounting software.

• Previous experience working for a non-profit organization helpful.

• Valid North Carolina driver license

• The majority of this position requires work indoors, in an office environment

• Requires occasional travel, the majority of which is within the Triad area

• The employee may occasionally lift objects, weighing up to 15 pounds.
