SUMMARY OF PRIMARY FUNCTION
Under the direction of the Porchlight Director of Services, the Manager provides on-site supervision of the day-to-day operations of the Safe Haven program. The Manager has primary responsibility for guests receiving appropriate assistance at Safe Haven, including meeting their basic needs and learning how to make the best use of community resources and agencies.
ESSENTIAL RESPONSIBILITIES/DUTIES
1. Coordinates all aspects of shelter operations, including staffing, facilities, and community partnerships.
2. Serves at all times as an on-call resource to Safe Haven staff. Coordinates with the Director of Services and Assistant Director of Services to arrange for on-call coverage for Safe Haven during periods of absence or unavailability.
3. Directly supervises Shelter Case Managers and the Crisis Stabilization Program Manager. Provides consistent and equitable mentorship, training, support, and guidance, including providing constructive or corrective feedback on performance as needed.
4. Brings suspected or confirmed performance problems, incidents of misconduct, or other concerns regarding staff members to the attention of the Director of Human Resources and the Director of Services, and collaborates with these roles to determine and implement next steps.
5. Schedules and ensures coverage for all Safe Haven shifts, finding coverage as needed when staff is ill, on vacation, or otherwise unavailable. Creates and disseminates a monthly schedule for all Safe Haven staff. Reviews and approves staff time on the iSolved platform each pay period.
6. Participates in the hiring and onboarding of new Safe Haven employees.
7. Facilitates weekly Safe Haven staff meetings and Crisis Stabilization supervision hours. Coordinates and tracks required training for staff providing Crisis Stabilization services.
8. Monitors the condition of Safe Haven facilities and supervises requests for maintenance and supply orders through coordination with the Porchlight main office.
9. Communicates with the Porchlight Kitchen Director regarding the Safe Haven meal program.
10. Reviews incidents and makes final decisions on suspensions and other disciplinary actions. Responds to resident and guest grievances, appeals, and requests for reinstatement.
11. Serves on the Porchlight Management Team (M-Team) and attends monthly meetings.
12. Participates in agency-level strategic planning, including initiatives to improve programming across Porchlight.
13. Represents Safe Haven on the Shelter Providers Committee of the Homeless Services Consortium of Dane County (HSC). Encourages Safe Haven staff participation in HSC or other community meetings as appropriate.
14. Collaborates with other community agencies to best serve Safe Haven guests.
15. Reviews and maintains staff training manual. Updates and improves manual as appropriate.
16. Creates and revises Safe Haven policies and procedures to be reviewed by the Director of Services and Assistant Director of Services. Evaluates the efficacy of existing policies and procedures.
17. Reviews annual Safe Haven program budget and makes suggestions to the Director of Finance.
18. Tracks Porchlight housing applications for drop-in guests. Communicates with the Director of Housing to maintain the waiting list for housing at Safe Haven.
19. Tracks and reports attendance and services utilized by drop-in guests and residents. Responds to requests for additional information/statistics as necessary.
20. Provides direct services to guests, including completing new client enrollments, assessing individual needs, referring clients to appropriate services in the community, and providing education and support to find housing.
21. Assists guests in resolving interpersonal conflicts, de-escalates situations whenever possible. Develops rapport with guests based on mutual respect and utilizing active listening skills.
22. Provides Crisis Stabilization services to individuals in crisis resulting from mental health symptoms or alcohol or drug abuse. Tracks and submits staff service minutes to Dane County.
23. Ensures proper and consistent documentation of incidents regarding guests and staff. Ensures all incident reports and service suspensions are maintained in a coordinated log, and that suspension notifications include all required paperwork. Reports on service suspensions as needed.
24. Works regular desk shifts at Safe Haven including some weekends, and evenings until 6:30pm.
25. Maintains regular contact with the Director of Services to keep them informed of the status, needs, and issues at Safe Haven. Attends biweekly supervision meetings.
26. Performs other duties and takes on other responsibilities as assigned by the Director of Services.
QUALIFICATIONS
1. Bachelor's Degree in Social Work or related field desired, or equivalent knowledge and experience.
2. Experience working in a nonprofit social service agency. Supervisory experience desired.
3. Strong crisis management skills.
4. Desire to work with a diverse population of individuals with different strengths and barriers. Sincere respect for individuals experiencing sheltered and unsheltered homelessness.
5. Ability to build consensus, motivate, and obtain willing cooperation from others.
6. Team orientation with respect for others. High ethical standards.
7. Proficiency in Microsoft Word, Excel, Outlook, and Teams. Ability to adapt to new technology.
