POSITION DESCRIPTION
The Office Administrator coordinates office activities and operations to secure efficiency and compliance with Immigration Legal Services policies. The Office Administrator is responsible for creating and maintaining electronic and hard copies of case files. The Office Administrator provides support to Immigration Legal Services staff and communicates with clients to collect and prepare documents for applications. The Office Administrator oversees grant reporting and quarterly reporting, with final approval given by Managing Attorney. The Office Administrator works with the Managing Attorney to coordinate, prepare, and oversee community outreach events and group processing events.
The Office Administrator is responsible for the following tasks (including but not limited to):
- Maintaining and updating the ILS Manual with the Managing Attorney’s approval.
- Coordinating office activities and operations to secure efficiency and compliance with Immigration Legal Services policies.
- Collecting and processing all client service fees: informing clients of fees, collecting fees, generating receipts, storing fees, processing fee waiver applications, documenting fees within database and reminding clients of when additional payment is due.
- Client communication: coordinating with the receptionist to efficiently manage the front desk, including answering telephones, scheduling appointments, monitoring voicemail messages, confirming client appointments, keeping accurate notes of client communications in database and interviewing clients to complete forms.
- Filing and data entry: creating and maintaining electronic case management system and hard copies of files; inputting information about received mail into client database; coordinating with the receptionist to manage sorting, opening and routing mail; calendaring key dates; managing case reminder system.
- Other duties as assigned
REQUIREMENTS
- Minimum of 2+ years experience as an assistant or receptionist required (prior experience in immigration law firm setting preferred); Associate’s degree (preferred)
- Fluency in Spanish and English (oral and written)
- Ability to communicate with clients in a courteous and professional manner and capacity to prioritize and manage multiple projects to meet deadlines
- Proficiency in Microsoft Office Suite and internet research
- Bookkeeping experience preferred
- Competency to service clients from a variety of cultures and strong desire to serve the low-income immigrant population
POSITION DETAILS
- Full time, hourly position; Monday through Friday, with occasional evenings, weekends and holiday as required
