ASSISTANT TO THE CEO

Position Qualifications
Knowledge of office administrative practices and procedures.
High school graduation or G.E.D. equivalent required. Post-secondary degree preferred. Minimum five years’ experience supporting C-level executives.
Excellent verbal and written skills.
Proficient in Microsoft Word, Excel and other office/administrative software.
Must be self-motivated, creative, detail-oriented, and excel in problem-solving skills.
Has the ability to prioritize and manage multiple responsibilities with minimal supervision.
Ability to deal with sensitive information with a high level of trust, tact, and confidentiality.
Excellent customer service skills with the proven ability to interact with diverse groups and work successfully in a collaborative, team-oriented environment.
Work Environment
The job operates in a professional, open space office environment using standard office equipment.
Remote work possible after successful completion of introductory period.
There is a high probability of glitter encroachment on personal items at your workstation.
Working knowledge of Connect 4, Candyland, and Chutes and Ladders required.
Essential Job Responsibilities and Duties
Maintains the CEO’s calendar; coordinates, arranges and confirms meetings; arranges for meeting room setup and refreshments; screens requests for appointments; schedules the use of meeting rooms; anticipates and monitors chapter and national deadlines that require the CEO’s attention.
Represents the CEO by maintaining a professional demeanor and appearance and safeguarding confidential information while being the face of MAWSNV as needed at functions on behalf of the CEO.
Maintains CEO contacts in customer relationship database and Outlook.
Creates bi-monthly CEO credit card expense reports and seeks board chair approval monthly.
Proofreads and checks typed and other materials for accuracy, completeness, and compliance with MAWSNV standards, policies, and procedures.
Coordinates quarterly off-site strategy sessions for senior leadership team including securing meeting venue, travel arrangements for strategy coach (as needed), food & beverages.
Prepares travel requests; makes and confirms travel and other arrangements for conferences and business trips; types itineraries; compiles expense reports; and prepares post-travel memoranda.
Interacts with all levels of the organization – donors, volunteers, news media, and the National office, on behalf of and as directed by the CEO.
Works independently and within a team on ongoing and one-time special projects.
Serves as the internal communications liaison – gathering and distributing information to various constituencies (Committees, Board of Directors, volunteers, and staff). Maintains relevant updates as distributed through the National office (Daily Wish, Policy Changes, etc.).
Manages all social media platforms for CEO.
Maintains board member information access; prepares, proofreads, and modifies materials for board meetings; maintains files of agenda items; prepares, assembles, and coordinates the distribution of supporting agenda materials.
Prepares all aspects of executing board and committee meetings.
Assists in donor, volunteer, and wish child recognition processes via thank you notes and donor correspondence.
Supports the CEO in executing stewardship events involving donors and top volunteers and board members at The Wishing Place or off-site locations.
Responsible for creating and maintaining the “Wishfully Ever After” program for wish alumni, families, and donors to maintain contact and continued support of Make-A-Wish Southern Nevada
Provides administrative and other support for Senior Leadership Team as needed.
