Advance NYC is currently seeking a full-time Human Resources & Operations Manager.

Advance NYC recently experienced a period of rapid growth, almost doubling our client roster and team size over the past two years: our staff currently consists of 22 full-time members and a small team of part-time and contracted support. Additionally, we are in the process of undergoing an exciting business planning process that charts a course for continued growth over the next 3-5 years. The Human Resources & Operations Manager will play a crucial role in the next phase of the company’s development, providing support for our immediate goals to strengthen internal structures and functioning, while also providing thought partnership to our senior team about how to best realize our vision for Advance NYC’s future.

 

This is an exciting opportunity for a passionate, motivated professional interested in supporting a highly-skilled, dedicated team, helping Advance NYC further the missions of our diverse client organizations, and playing a critical role in allowing the company to strategically increase our impact on the larger non-profit sector. The Human Resource & Operations Manager will report to Founding Partner Demos Tsilikoudis, while also working closely with Founding Partner Yasmine Falk and senior team members. The ideal candidate will bring a depth of general HR knowledge, an enthusiasm for problem-solving and tackling a wide range of responsibilities, and an interest in supporting a thriving organizational culture, as well as discretion and sensitivity regarding human resource matters. The successful candidate will be detail oriented, computer savvy, able to manage multiple projects simultaneously, and able to work both collaboratively and autonomously.

 

This is a partially remote position: while Advance NYC operates in a virtual office, this position requires in-person attendance for select meetings in the NYC metro area. Due to COVID-19, in-person attendance has been temporarily reduced and in-person interaction is carefully evaluated by all participating parties; instances of in-person attendance will likely increase in the coming year as safety allows. The typical schedule for this role will be 9AM - 5PM EST Monday-Friday (with the occasional night or weekend), but we are open to exploring a more flexible schedule for the right candidate.

 

Responsibilities will include (though not be limited to):

 

Human Resources Management

Collaborate with Founding Partners on drafting/revising organizational policies and guidance, including annual updates to the company’s personnel guidebook


Work closely with Founding Partners to manage hiring processes, including drafting job descriptions, scheduling, and participating in interviews 


Support Founding Partners and senior staff in onboarding/training new employees
Facilitate employee evaluation process and coordinate professional development opportunities for staff
Work with Founding Partners to coordinate and lead organization-wide trainings, such as an annual anti-harassment training, introduction of new/revised policies, etc.
Execute general HR administrative tasks, including supporting annual health insurance enrollment, vacation tracking, etc.
Answer frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc., with support from Founding Partners for more complex inquiries
Manage and review staff concerns and grievances, working closely with the Founding Partners
Help coordinate Advance NYC’s ongoing DEIA initiatives (which have previously included all-staff trainings, voluntary working groups, etc.)


Schedule Senior Staff and All Staff Meetings, draft agendas, attend, take notes, and track next steps
Plan 2-3 annual company-wide employee celebrations (staff parties)
Research/stay current regarding industry trends

 

Operations Management

Contract management: draft client contracts/addendums using organizational templates; maintain contract tracking in Asana (project management platform); submit appropriate contracts to the state; assist with maintaining NYS compliance as Professional Fundraising Counsel and annual state registration process


Support internal processes, including team time tracking and reporting, maintenance of master contact list, etc.
Reconcile team expenses and receipts
Provide occasional scheduling and administrative support for Founding Partners
Coordinate notices to clients (regarding fee increases, office closures, etc.)
Manage discreet operations projects
Provide virtual office management

Serve as administrator for organizational platforms/tools like Asana, Google Drive, Time IQ, Slack, and Zoom
Manage Breather (office space rental) account and other on-demand physical office needs
Maintain Advance NYC website: oversee basic upkeep and updates (complex updates will be handled by our web design studio Lovably); acquire testimonials and photographs from clients as needed
Manage social media content (LinkedIn, Instagram)
Coordinate weekly Advance NYC email blasts, including managing MailChimp account



 

A strong candidate will have some combination of:  

A minimum 3-5 years of direct Human Resources and/or Operations experience, preferably in the non-profit sector
Ability to communicate clearly, concisely, and professionally; experience composing clear and compelling formal communications
Strong interpersonal skills
Ability to efficiently manage several projects simultaneously while prioritizing to meet respective deadlines; strong organizational and time-management skills are key
Natural inclination to be a proactive task manager and problem solver
Experience with email clients (Constant Contact, Mailchimp, Squarespace, WordFly)
A commitment to approach all areas of work through the lens of equity and inclusion
A growth mindset and a habit of curiosity
The flexibility to work some nights and weekends
Knowledge in conflict resolution and/or restorative practices a plus

Essential for performing this role:

Proficiency in Microsoft Office and/or Google Suite
Ability to work fully remotely, which includes access to a phone, computer, and reliable internet
Ability to travel to meetings in the NYC metro area

Compensation:
The salary range for this full-time, non-exempt (40 hour) position is $65,000-80,000 annually, commensurate with experience. Advance NYC provides generous contributions toward health and dental insurance, paid vacation time and sick time, paid holidays, 401k programs, and competitive parental and family leave. All team members are eligible for remote and flex time, to be determined on a case-by-case basis.
