Description
Provides day-to-day administrative support to the President in executing the duties of the office. Assists the President with prioritization and scheduling and makes judgments and decisions on behalf of the President, as needed. Also provides administrative support for Board and Steering Council meetings.
Job Duties
Assists the President with prioritization and time management, tracking and addressing multiple projects and issues at hand.
Manages the President’s calendar, including but not limited to activities, meetings, and travel schedule.
Coordinates Board of Directors and Steering Council meetings as well as other groups and meetings led by the President.
Reviews daily email and other communications for the President and prepares responses or response drafts, depending on the nature and urgency of the communication.
Takes initiative to prepare correspondence, reports, and presentations.
Maintains positive working relationships with all Mind & Life colleagues and the broader Mind & Life community.
Works with the Advancement Team as it relates to the President’s responsibilities and priorities related to fundraising and communications.
Participates in promoting an office culture that supports a positive team environment.
Skills Required
A minimum of 3-5 years previous on-the-job experience at the level of executive assistant for senior management, C-Suite preferred.
Advanced proficiency in the use of office technology including MS Office Suite (Word, Excel, PowerPoint) and G Suite. Proficiency with Salesforce or other relationship management software.
Has strong communication skills (written and oral). Effectively and personably communicates with discretion and poise, especially when handling difficult or sensitive issues, with all team members and various stakeholders. Maintains good collegial relationships and a team-oriented environment.
Has can-do attitude and approach – takes initiative and is pro-active.
Has a successful track record in setting priorities with keen analytic, organizational, and problem-solving skills to support and enable sound decision making.
Has excellent attention to detail.
Able to maintain strict confidentiality.
To work from home, a strong internet connection is required.
Bachelor’s degree preferred.
Embodies personal qualities of integrity, kindheartedness, and credibility.

Schedule: Midweek (generally Monday-Thursday)
Based in Charlottesville, Virginia, Mind & Life operates in a hybrid in-person and remote work environment. As such, we seek candidates based in Virginia, Colorado, Georgia, Maryland, Massachusetts, and California. Position may include occasional travel – one to two times per year.
